Privacy Policy

Last Updated: March 7, 2026

At Mailhostly, your privacy and the security of your data are our top priorities. This Privacy Policy outlines how we collect, use, and protect your information when you use our self-hosted email marketing management platform.

1. Information We Collect

A. Account Information: Your name, email address, and billing details provided during registration.

B. API Credentials: Encrypted API keys and secrets for third-party providers (SES, Mailgun, etc.) that you explicitly provide to enable the service.

C. Campaign Metadata: Statistics regarding email sends, opens, and clicks to provide you with campaign analytics.

2. How We Use Your Data

We use the collected information solely for the following purposes:

  • To facilitate the sending of emails via your connected third-party APIs.
  • To provide AI-assisted content generation based on your prompts.
  • To display campaign performance reports in your dashboard.
  • To manage your subscription and provide technical support.

3. Data Ownership & Third Parties

We do not sell, rent, or trade your subscriber lists or personal data to third parties.

Your subscriber data is processed only to fulfill the "Send" requests you initiate. Since Mailhostly is a management layer, your data is also subject to the privacy policies of the API providers you connect (e.g., Amazon Web Services Privacy Policy).

4. AI Features & Privacy

When you use our AI tools to generate email content, the prompts you enter may be processed by third-party AI models (such as OpenAI or Google Gemini). We do not use your proprietary subscriber lists to train these AI models.

5. Data Security

We implement industry-standard security measures, including AES-256 encryption for your stored API keys and SSL/TLS encryption for all data transmission between your browser and our servers.

6. Your Rights

Under regulations like GDPR and CCPA, you have the right to:

  • Access the personal data we hold about you.
  • Request the deletion of your account and associated API credentials.
  • Export your campaign data.

7. Cookies

We use essential cookies to keep you logged in and to remember your dashboard preferences. We do not use intrusive tracking cookies for advertising purposes.
